Mariner's Desk Troubleshooting Guide

Most problems have a short fix. This guide starts with the ones people hit most, then covers the rest by area. Each section tells you what you're likely seeing, what to try first, and when to stop and send us the details.

If a step below is not clear, or it doesn’t match what you see, stop there and send us the details listed in the last section.

Contents

  1. Before anything else
  2. Signing in and passwords
  3. Old version, blank screens and loading problems
  4. Records, sync and backups
  5. Notifications
  6. Certificates and scans
  7. Rest hours
  8. HQ: sign-in, invites and the roster
  9. Devices and browsers
  10. What to send us when you need help
01

Before anything else

Three quick checks solve more problems than any other steps.

  1. Check your connection. Open any website. If it doesn't load, the problem is your signal or Wi-Fi, not the app. The app keeps working offline, but signing in and syncing need a connection.
  2. Close the app completely and open it again. On a phone, swipe the app away from the recent apps list. In a browser, close the tab and open the site again.
  3. Check for an update. Mariner's Desk on Android updates through the Play Store. The web app updates when you reopen it, but an installed copy can hold on to an older version until it's reloaded. See section 3.
Before you clear anythingClearing site data or app storage removes the copy of your records held on this device. Anything not yet synced is lost. Export a backup from Settings first, and make sure you're online for a while so records can sync.
02

Signing in and passwords

Sign-in problems, including the password reset, which changed in October 2026.

I can't sign in

I forgot my password

  1. On the sign-in screen, type your email address first, then tap Forgot password?. In the app, the reset will say so if you skip this.
  2. Check your inbox. The email has an 8-digit code. It may take a few minutes to arrive, and it can land in spam.
  3. Enter the code, then a new password of at least six characters.
  4. When it says the password is updated, sign in with the new password.

The code doesn't work

I'm signed out after refreshing or reopening

Your sign-in is kept per browser tab, so a new tab or a closed window may need you to sign in again. Your records on the device are not lost. Sign in again, and they'll sync back. On a shared computer, sign out when you finish.

The sign-in screen came back after I used the reset email link

Older reset emails contained a link only, and on some phones it didn't carry you back into the app. Use the code in the email instead, which works in the app itself. If you have an old link, request a new code.

03

Old version, blank screens and loading problems

What to do when the app looks wrong, or doesn't load properly.

The app is showing an old screen or an old fix

An installed copy of the app keeps a local copy of itself, so it can take a moment to pick up a new version.

  1. Close the app fully and reopen it. Repeat once more if needed.
  2. In a browser, reload the page. For a home-screen app, close it from the recent apps list and reopen.
  3. If it's still old, clear the site's data (desktop browsers: site settings, then clear data for the address). Export a backup first. Clearing removes the local copy, and you'll sign in again afterwards.

The first screen is blank

This has happened occasionally on first load, most often right after an update. Reload the page once. If it comes back blank again, close the app, reopen it, and check your connection. If it persists, send us the details in section 9.

It's stuck on a spinner or "Checking your link"

Give it up to 10 seconds. If nothing changes, reload. A spinner that doesn't clear usually means the connection dropped during the first load.

04

Records, sync and backups

Why a record might not be where you expect, and how sync works.

A record I added isn't showing up on HQ

I can see the same certificate twice

The app matches records on their content. Two identical copies usually mean a sync ran twice. Compare the dates and scans, and delete the extra one. Don't delete both.

My records are on one phone but not another

Sign in on the other phone with the same account. Records sync down from your account. If they still don't appear, check that the phone is online, then sign out and back in. If that fails, restore from the backup file you exported.

Restoring a backup

Go to Settings, choose Restore, and pick the file. Records already on the phone are merged, not duplicated. If the restore reports a problem, keep the file and send it to us.

Deleting my account

Deleting your account removes your records from Mariner's Desk. Rest-hours records and sea-service sign-offs your company has countersigned stay with the company, under your name, marked as account deleted. If you're not sure, talk to your company before you delete.

05

Notifications

Expiry alerts and other notifications that don't arrive.

I'm not getting expiry alerts

  1. In Settings, check that notifications are turned on in the app. Alerts cover certificates expiring within 90 days, once a day.
  2. On your phone, check that the app is allowed to send notifications, and that it isn't restricted by battery saving.
  3. On a phone, open the app once after turning notifications on. Some phones need that first open before alerts can arrive.
  4. On iPhone and iPad, notifications for web apps only work when the app has been added to the home screen. Open it from there, not from the browser tab.

I'm getting too many alerts

Alerts are sent once a day per certificate, and they stop once the certificate is renewed or its expiry date is updated. If a certificate is still showing as expiring after renewal, check the expiry date you entered for it.

HQ isn't sending email

Check your spam folder. Email comes from the Mariner's Desk address. If nothing arrives after a few minutes, check the address in the crew record, then try the invite again.

06

Certificates and scans

Scan reading, PDFs, and records that look wrong.

The scan didn't read properly

My PDF isn't backing up

PDF scans are backed up in the same way as images, as long as you're online. A PDF added offline is backed up once you connect.

A certificate shows the wrong status

The status comes from the expiry date. Check that the date is right. If the date is right and the status is still wrong, tell us which certificate and what status you expected.

A proposal from my company looks wrong

Nothing changes until you accept. If a proposal looks wrong, reject it and ask your company to propose the correct details.

07

Rest hours

Why the rest-hours check flags a day, and what to do about it.

A day is flagged, but I think I rested enough

Check the times first. The check looks at rolling windows, not calendar days, so a rest period that crosses midnight counts toward more than one window. The issue under each flagged day shows the hours it found, which makes the gap easy to see.

A record won't countersign

Make sure every day in the period is filled in. Your company countersigns from HQ, so once the record is complete, let your office know it's ready.

Export

Use Export CSV for a copy of a period. If the file opens with the wrong dates, check the period you selected before you export.

08

HQ: sign-in, invites and the roster

The problems shore staff run into most often.

An invite didn't arrive

An invite says the person already has an account

That's normal when someone already uses Mariner's Desk or HQ elsewhere. Their existing account is linked to your company. They'll see the invite the next time they sign in and can accept it.

I can't assign or edit something

Check your role. Editors and admins can edit most things. A Master or Chief can only manage their own vessel. Viewers can read but not change. The roles table in the HQ User Manual lists exactly what each role can do.

I can't approve a leave request

Check the approval routing in Settings. In sequential mode, the Master or Chief decides first, and shore staff give final approval. If the request would overlap an existing assignment, the approval is blocked until the clash is resolved on the roster.

The roster won't save an assignment

Two checks run before saving. An overlap with another assignment is blocked, so adjust the dates. A certificate warning is a prompt, and you can confirm to save anyway. Your override is recorded in the audit log.

A delete didn't happen

Deleting asks you to confirm. If you cancelled the prompt, nothing was deleted. Check the record: if it's still there, start again and choose OK on the confirmation. If an error message appears, copy the wording and send it to us.

The dashboard numbers look wrong

Check the requirements first. A certificate that's required for a rank shows as missing until it's recorded. The certificate compliance figure only counts mandatory certificates.

09

Devices and browsers

What works where, and how to install the app.

DeviceHow to use itNotes
Android phoneMariner's Desk app from Google Play, or the web app added to the home screenBest support for notifications and offline use.
iPhone or iPadWeb app added to the home screen (Share, then Add to Home Screen)Open it from the home screen for notifications to work.
Windows or MacChrome or Edge in a browser windowInstall from the browser menu if you want it as an app.

For HQ, use a current browser on a computer. Older browsers and very old tablets may not display every screen correctly.

Installing the web app

  1. Open the site in the browser on your phone or computer.
  2. Use the browser's menu and choose Install app or Add to Home Screen.
  3. Open it from the new icon. This is also what makes it work offline.

The Android app won't open or sign in

Update it from Google Play. If it still fails, uninstall and reinstall, but export a backup first. Reinstalling removes the copy on the device, so sign in afterwards and check your records have synced.

What to send us when you need help

The more specific the details, the faster we can find the cause.

Email support@wilsonmaritimegroup.com with the following:

  1. What you were trying to do, in one sentence.
  2. What you saw, with the exact message if there was one. A screenshot helps.
  3. When it happened, including the date and approximate time.
  4. Your device and app: phone make and model, the Android or iOS version, and whether you used the app or the browser.
  5. Your account email, so we can find your account. Don't send your password.
  6. What you've already tried.
Never send passwords or codesWe'll never ask for your password, and reset codes are only for you. If someone asks you for one, don't share it.
